1. 12 months to simplicity - EMAILS
How many email messages are sitting in your inbox?
The answer is likely too many.
GET THE URGE TO PURGE!
Schedule time to go through all of your saved emails
and aggressively delete old messages.
Ideally, your inbox should only contain new, unread
emails and those to which you still need to respond.
Remember, "the majority of your email doesn't
need
to be saved. Whenever possible, read each email
once,
then delete. If you do this regularly, you'll have
far less email clutter," says Jan Jaspar, author
of
Take Back Your Time: How to Regain Control of Work,
Information, and Technology.
Try to avoid printing emails. Instead, create folders
in your email program where you can drag the emails
that you need to save. This is like a file cabinet
for emails.
Be sure to purge as often as possible, at least
once
a month. Purging email is a great task to do when
you
have low energy. Keeping fewer messages in
your inbox will make your email easier to navigate
and will likely decrease wasted time.

77. TAKE CONTROL OF YOUR EMAIL.
Don't let email control you.
Unsubscribe from lists that you no longer want or
enjoy.
78. SCHEDULE TIME TO CHECK YOUR
EMAIL.
This is usually a low energy task, so schedule it
appropriately.
79. READ EMAIL DAILY.
Don't let your email pile up.
It will become a chore to go through it all at once.
80. CLOSE YOUR EMAIL PROGRAM WHEN
YOU ARE NOT USING IT.
That way, it won't pull you in.
81. PUT ASIDE PERSONAL AND NON-URGENT
MESSAGES FOR LAST.
These can take you away from important work.
82. USE FILTERS.
Many email programs have a filter that will allow
you to
route messages from specific recipients or messages
containing
certain key words into pre-determined folders.
83. MARK AS UNREAD OR USE FOLLOW-UP
FLAGS (if available).
If an email needs action, mark it as unread or use
a follow-up
flag (in tools) that will signify that you still
need to deal
with that email. Try to keep your inbox as empty
as possible.
84. MAKE FRIENDS WITH THE DELETE
BUTTON. Don't be afraid
to get rid of something unless you know you will
need it later.
85. RIGHT CLICK FOR NEW SUBFOLDERS.
Using subfolders to
immediately organize incoming email is helpful in
keeping your
inbox organized.
86. WHEN SENDING EMAIL, KEEP IT
SIMPLE. Use email to your
advantage, but consider if a phone call may be easier
and less
time consuming than going back and forth.
