1. 12 MONTHS TO SIMPLICITY - INTERRUPTIONS!

One of the worst parts of your day could probably
be chalked up to interruptions. These come in the
form of phone calls, visitors, emails, and most often,
other's emergencies.

It's not so bad that the interruption takes you away
from the task you are working on, but it extinguishes
any momentum that you had and makes ramping back up
again a monumental task.

In part 2 of this newsletter, I have provided solutions
from my booklet regarding how to handle phone and
visitor interruptions. So let's take a look at emails
and other's emergencies.

Email interruptions can be avoided by simply turning off
the sound on your computer that alerts you to a new email.
Still bothered by the little envelope appearing at the bottom
of your screen? Shut your email program down and only check
it a couple of times a day.

Other's emergencies very often are NOT emergencies at all.
You need to ask the emergency provider what "NOW" means.
Many times when someone says that they need this done NOW,
they really mean they want it off of their desk NOW, but
it doesn't need done right away. Clarification is always
a good way to avoid dropping everything unnecessarily.

Interruptions are hard to avoid, but you can do some
prevention to reduce the number of times you are pulled
away from YOUR work in a day.

TELEPHONE SOLUTIONS

68.    HAVE AN AGENDA IN FRONT OF YOU WHEN YOU MAKE A CALL.
When you call someone, know the reason
for the call and stick to it.

69.    SET THE PARAMETERS OF THE CALL.
"I have 2 minutes before I have to go to a
meeting. How can I help you?" ASK THE CALLER,
"What can I do for you?" This sets the tone
that you don't have much time. ALWAYS ASK THE
PERSON THAT YOU CALL, "Is now a good time to
talk?" or "Do you have a minute?" This shows
respect for their time, and in the future, it
will be reciprocated.

70.    USE VOICEMAIL TO YOUR ADVANTAGE.
If you are in the middle of a project and
you can put your phone on do not disturb, I
suggest doing so. Also, request to have
someone's voicemail if you want to avoid
talking to them. It will save you time!

71.    USE CALLER ID.
We all have people in our life that talk
too much. This modern marvel can help you
avoid lengthy calls that do nothing but waste
your time.

VISITOR SOLUTIONS

72.    STAND UP WHEN A VISITOR COMES INTO YOUR OFFICE.
This is uncomfortable to the visitor and their
stay will be shortened.

73.    DON'T LOOK UP FROM WHAT YOU ARE DOING.
Some people (and you know who they are) pay no
attention to when you are unavailable, but this
will usually work.

74.    REMOVE THE CHAIRS FROM YOUR OFFICE.
This assures you that nobody will sit and stay
for too long.

75.    START WALKING WITH THE VISITOR TO THE DOOR.
You can be polite and effective all at once.

76.    PUT A DO NOT DISTURB SIGN ON YOUR DOOR AND STICK TO IT.
Communicate to everyone that you are not to be
bothered when that sign is up. If you work in cubicles,
make a rule that if someone has a piece of police tape
across their cubicle entrance, that means you are not disturb
that person.
