1. 12 MONTHS TO SIMPLICITY - HOW TO HAVE EFFECTIVE
MEETINGS
Problems often associated with
meetings and suggested solutions:
1. People don't arrive on time.
a. Be accountable for on time arrival
b. Sharpen time management skills
2. Recapping for latecomers.
a. If you are late, catch up after the meeting
b. As the facilitator, do not recap for latecomers.
This is disrespectful to those that arrived on time
3. People don't show up at all.
a. Be more mindful of your schedule.
b. Put yourself in the facilitator's shoes.
A call is better than a no-show
c. If you are the facilitator, let the no-shows
know
that you noticed.
4. Not starting on time.
a. If the meeting is to start at 10 am, start at
10 am exactly.
No matter who is there, the door is shut and the
meeting
is started.
b. As the facilitator, be sure to arrive early.
5. Not ending on time
a. If the meeting is to end at 11 am, end at 11
am exactly
b. If everyone is in agreement, extend the meeting
6. Too many meetings - dilutes value
a. Hold only meetings that NEED to be held
- think before you schedule
b. Pre-schedule and prepare standard meetings
c. Only invite those that NEED to be in the meeting
8. There is no set agenda
a. Have an agenda and stick to it!
b. Make sure everyone has a copy of the agenda
BEFORE the meeting. Agenda is to be prepared
and distributed in advance, preferably the day before.
c. If there is pre-meeting work or reading to be
done,
be sure to give ample time for attendees to review
before the meeting
d. As you prepare the agenda, think about what you
want
the attendees to think, feel and do when the meeting
is over.
General Meeting Ground Rules
Arrive on time
Have an agenda
Take Minutes
Review action plan at end of meeting
Assign deadlines
Assign Accountability Police
End on time!
Distribute minutes and action plan
Follow-UP!
More helpful ideas:
* Ensure there are working clocks in each conference
room
* Be prepared! Bring pen and paper and anything
else required.
* Be on time. Consider travel time so that back
to back
appointment conflicts do not occur
* To keep control, speak only when acknowledged.

This summer, why not try to enjoy your family and
friends
and leave the busy-ness behind. Is it really worth
it to
complicate you life so much that you are exhausted
and have
no energy for those that you love?
Take that look at your life to see if you can eliminate
some elements that jam you up and usurp all of your
energy.
I decided to make this month's newsletter simple.
If I expect you to have a great summer and relax,
I suppose I should lead by example.
Remember, my door is always open. I hope to hear
from you.
